In NetSuite, Departments and Classes are categories created to track records such as financials, transactions and employees. Departments are listed first on transactions and can be useful to designate transactions and employees as part of an internal team. A department can be created for each team of employees dedicated to a certain area of business, and then used to track income and expenses by each department over any given period of time. Classes can be useful for wider classifications within a business.<BR><br>The Locations feature enables you to track information about employees and transactions for multiple offices. For example, you can differentiate between the corporate office and sales offices, or between offices in several regions. Then you can associate transactions and employees with each location, and view reports with data filtered by location. Locations are also used to define where employees work.<BR><br>Departments, Classes and Locations can be associated to transactions in either of these two ways:<BR><br><b>Transaction Level</b>: These segments can be associated to the entire transaction and posting to the General Ledger accounts will use these segments for reporting purposes.<BR><br><b>Line Item Level</b>: Segments will be associated to the Line Item General Ledger account association. This allows for each item on the transaction to be associated to unique combinations of Departments, Classes, and Locations. |

In NetSuite, by default, the chart of accounts shows account number, name, type and balance for each account. If the Multiple Currencies feature is utilized, the currency and a foreign currency balance are also shown. Departments, Locations or Classes need not be tracked through the Chart of Accounts as these are tracked on transactions and are available for reporting. |

A statistical account is a general ledger account that appears in the chart of accounts but does not impact the G/L. This type of account enables tracking of non-monetary data and then uses that information on reports and income statements, allowing examination of its relationship with the financial activity of the organization. For example, statistical accounts can be created that track the rent fees for the square feet of occupied office space for each location in the organization.<br><br>A statistical account is always debit positive, and is always excluded from foreign currency translation. Statistical accounts are added the same way as other accounts. Currency-specific fields do not display when a statistical account is added because they are irrelevant for non-monetary accounts. Instead, a default unit of measure type, and a default unit within that type, are assigned. For example, the Unit of Measure Type may be defined as, AREA that includes the unit of measure, square feet (SQFT). Unit of Measure Type, Currency that includes the unit of measure, USD is another definition example. |

In NetSuite, subsidiary records are created to represent the separate business or legal entities that make up the consolidated company. These records are organized into a tree structure. That tree has one 'subsidiary' at its root, but that subsidiary is actually the ultimate parent of the rest of the tree; it has no parent. The root subsidiary may have a number of subsidiaries. One subsidiary will be created for each separate reporting entity. Each subsidiary has a base currency which may be different from its parent's.
Elimination subsidiaries are set up to carry the elimination journal entries required at each consolidation. Each parent entity in the hierarchy will generally have one elimination subsidiary, although multiple elimination subsidiaries may be required for a single parent in certain circumstances. The base currency for an elimination subsidiary is the same as its parent's.
Financial reports are presented with respect to a user-selected "subsidiary context." The context selections available vary with permissions, but in general there is a selection, or node, available for each subsidiary. In addition, a virtual consolidated reporting node will be available for each subsidiary that is a parent. By selecting the consolidated node a user requests the report to include data from the node selected consolidated with its children.
Transactions within a subsidiary can be numbered using a global sequence or through subsidiary specific sequences specified at Setup > Company > Auto-Generated Numbers. |

In NetSuite, transactions are posted in real time. If accounting periods are used, the posting period for a transaction can be selected. The posting period can be configured to globally prevent any changes to past or future periods or allow administrators to update data. Or periods can be locked selectively for financial transactions only, allowing non-financial details such as memos to be updated. The accounting periods can be set up using the following formats: <BR><ul><li>Calendar Months - 12 periods, one for each calendar month in the fiscal year </li><li>4 Weeks - 13 periods, each for every 4 weeks in the fiscal year </li><li>4-4-5 Weeks - A fiscal year so that there are two 4-week periods followed by one 5-week period.
This cycle repeats four times for a total of 13 periods in the fiscal year.
An adjustment period can also be added. This period may be setup to overlap with the last day of the fiscal accounting year that consists of 52 weeks x 7 days per week.</li></ul> |

In NetSuite, sales tax liabilities can be calculated and tracked. The tax is automatically determined by using the customer's shipping address, or billing address if no shipping address is provided, to associate the proper tax group or tax item for a given transaction. The tax functionality also provides for the ease of payment to the appropriate tax authorities. As part of the setup, rates can be pulled into the application. These rates are then the responsibility of the customer to update on an ongoing basis. |

When using the Revenue Recognition and Amortization features, you must select a subsidiary when you create journal entries to post. Then, the revenue recognition journal entry or amortization journal entry posts only to the subsidiary selected. On regular journal entry forms you must select the subsidiary to associate with the journal entry so that the entry posts to the correct ledger. Using a regular journal entry form, you cannot create a posting to more than one subsidiary. To do this, you must use intercompany journal entries. |

Intercompany journal entries post amounts to accounts between two subsidiaries. An intercompany journal entry posts to exactly two subsidiaries. When you save the journal entry, the ledger of each subsidiary is debited and credited appropriately. The person entering the entry must ensure that the intercompany accounting is done properly. The intercompany journal entry does not provide any automated intercompany accounting.
Intercompany journal entries are done to balance consolidated books when related companies within a consolidated company transact with each other. |

All Service Charges, Cash Advances, Interest and any other type of Credits applied to the Credit Card can be incorporated into the reconciliation. The Budget Income Statement allows user to view a specific budget for income, cost of goods sold, and expense accounts in the same format as your income statement, including projected net income per that budget. The Budget vs. Actual report combines an income statement with a budget income statement for the same set of criteria, including both dollar and percentage comparisons between the two. This report allows you to analyze budgeted and actual financials to determine how closely your income and expenses compare to those you originally budgeted. |

In NetSuite, it is unnecessary to close out the income statement to retained earnings. NetSuite automatically reflects the correct balance in retained earnings based on the dates you select on the balance sheet. For example, if you wish to see a balance sheet for FY 2005, the system takes the cumulative net income through 2005 and displays that value in the retained earnings account for reporting purposes. The system does not actually post the balance to retained earnings, because by doing so you would be prevented from viewing your past income statements as they would now be zero.
Net income from prior periods is displayed in the 'retained earnings' account, while the current period's net income is displayed in the 'net income' account on the balance sheet. These two accounts constitute your cumulative retained earnings balance at any point in time.
Adjustments to the retained earnings account are combined on the balance sheet along with the system generated numbers.
The retained earnings account is a system account and cannot be deleted or substituted with another account. If you need to adjust retained earnings or allocate the balance to other equity accounts, you can post a journal entry and it will be reflected on the balance sheet. |

In NetSuite, Items are the goods and services sold to customers and/or bought from vendors. The term "Item" is also used to represent discounts, miscellaneous charges and item groups. [OneWorld Content] With subsidiary management and consolidation, items can be shared by several subsidiaries. A subsidiary must be associated with an item in order for the item to be added to a transaction related to that subsidiary. |

In NetSuite, you can set up different prices levels for each item and service. The price can be available for choice on a per transaction basis or based on the definition of the customer. For example, if you want to sell an item at Reseller level sometimes and at Direct Customer level other times, you can create a sales price for Reseller customers and a sales price for Direct customers. Price groups allow assignment of customer-specific price levels for groups of items. For example, you can create a pricing group called "Enterprise Software License" and associate the pricing group with all of your enterprise software license items. Items can be added to this group by associating this pricing group with the item on each item record. On a customer record, you can select the pricing group and select the price level you want to charge this customer. The Quantity Pricing feature lets you automatically apply different sales prices to items that depend on the quantity being sold. This enables you to easily offer discounts to customers who buy in bulk. Set a Maximum # of Quantity-based Price Levels and then set up quantity breaks to price each item and quantity. |

The inventory costing method you choose defines the way NetSuite calculates the cost of items. Standard costing methods are:
First-In, First-Out (FIFO) - Using FIFO
The first goods purchased are assumed to be the first goods sold so that the ending inventory consists of the most recently purchased goods. This method is useful to track different shipments of similar products.
Last-In, First-Out (LIFO) - Using LIFO
The last goods purchased are assumed to be the first goods sold so that the ending inventory consists of the first goods purchased.
Average costing (weighted-average method)
COGS are calculated as the total units available during a period divided by the beginning inventory cost plus the cost of additions to inventory. Standard costing
Standard (expected) costs are entered for each item and inventory will be valued against these figures. Any difference between the standard and actual item costs during purchasing and assembly will be posted to pre-defined variance accounts. |

Serialized inventory is a means to track the purchase and sale of physical inventory items by assigning a serial number to each item. The item's serial number enables you to choose a specific serial numbered item to fulfill or receive an order. You can access the history of any serialized item to track the cost of the item, or check its status. You can include serialized items in assembly items, or build assemblies which have a serial number assigned to them. Customer records will show the serial numbers of items purchased by each customer to reference for returns or entering cases. |

Lot items track the purchase, stock and sale of a group or quantity of items by assigning a specific number to the group or quantity. For example, a food distributor can track goods by assigning a lot number and expiration date to a group of perishable products. Lot numbered item records track the quantity of items and the specific cost for each lot as products are purchased and sold. On the lot number record, you can identify an expiration date and enter notes about the lot. |

Transaction item options are fields that you can add to the line items of your transaction records to gather information specific to your business needs. Item options can refer to characteristics of an item. For example, you might record different colors of an item as item options. Because a transaction item option is tracked in NetSuite as an option and not as an individual item record, you cannot track the purchase, sale, cost or stock level of each color. You can create item options for the following:
¥ purchase items
¥ sales items
¥ opportunities
¥ web store items
¥ kits and assemblies |

You can create and maintain your item records more easily using an item matrix. An item matrix allows you to track your items by certain options, such as size and color. An item matrix consists of a parent item and sub-items. The parent item does not appear on transactions. With an item matrix, each individual combination is tracked separately. |

In NetSuite, item groups can be used to facilitate input of items, group items for display or bundling for VSOE purposes. The items in a group are treated independently from a sales perspective with their own quantity, price and associated revenue/deferred revenue accounts. Kits or packages let you create items that are collected from other items. Unlike with item groups (as described below), you can assign multiple price levels to your kits and even make them available in your Web site. Whenever you sell a kit, the individual item members are deducted from inventory.
You are able choose to print all the members of the kit, with their display names, quantities, descriptions and rates on the invoice or other form. If you prefer, you can also print only the description and amount of the kit or package on the form.
You are able to add description, inventory, non-inventory, and other charge, service, kit and assembly items to your kits or packages. |

In NetSuite, the Multiple Units of Measure feature can be used to define various units used to stock, purchase and sell inventory items. Using units of measure allows greater flexibility and accuracy when tracking and selling inventory. A Units Type can be set up and each unit for that type can be defined. For example, a Units Type called Length can be set up. Then, Length units of Inch, Foot and Yard are set up. A base unit is defined and each unit is defined in terms of the base. For example, if the base unit is Inch, the unit Foot is defined as 12 inches. Once a Units Type is set up, a unit can be defined to default for each item on a particular transaction. On item records, a unit can be designated to default as a purchase unit, stock unit or sales unit. Then, on transactions:
¥ Purchase orders default to show the item in purchase units
¥ Invoices default to show the item in sales units
¥ Inventory adjustments default to show the item in stock units |

It is important to consider which set of Items you need to sell in the Web Store because items are the cornerstone of your web content and catalog. The items that reside in the ERP portion of NetSuite are the ones that will be presented on the web.
NetSuite has a variety of Item Types available to model the products and services you sell on the web. These include:
¥ Inventory Items
¥ Non-Inventory Items
¥ Download Items
¥ Service Items
¥ Gift Certificates
¥ Kit/Package Items
¥ Assembly Items
In NetSuite, how items will be presented in the store will be determined by the choice of Item Type used when creating the items. If you need to differentiate items by attributes like size, color, etc... Without the need for difference in pricing or tracking inventory, these attributes can be tracked by Item Options. However, if you require differentiating items by attributes with the need for differentiating price or tracking inventory, these attributes can be tracked by Matrix Items. |

In NetSuite, Assembly work orders are requests to complete a given quantity of a specific item. With Work Orders, NetSuite tracks the production of assembly items needed for stock or to fill demands. It tracks member components issued during the assembly process and quantities of the parent item built. There are two types of Work Orders supported in NetSuite: Special Order Work Orders and Production Work Orders.<br><br><b>Special Work Orders:</b> Special order work orders track assemblies to be built for a particular sale. The work order can be linked to the originating sale. When assembly items are sold and the finished goods are not in stock but the member items are, a work order is automatically added to the work order creation queue. Based on the amount of finished product needed for the order, member items are committed to the work order to build the finished assemblies.<br><br><b>Production Work Orders:</b> Production work orders track assemblies that need to be built to increase stock and are not intended for a particular sale. Production work orders are not linked to a sales order and have no customer assignment.<br><br>Production work orders are generated when the back ordered quantity of an assembly reaches its assigned build point. Once the build point is reached, a work order is added in the Mass Create Work Orders queue.<br><br>For each work order, a bill of materials (BOM) is generated to facilitate picking member items for the build. When this work order is completed, the regular stock level of the assembly is increased and the finished goods are committed to open sales orders.<br><br>Both production and special order work orders use the same Work Order transaction form in NetSuite. A work order can be entered individually, or be automatically added to the work order creation queue based on inventory settings. |

You can create one of eight cost categories to use with Manufacturing Routing. These cost categories help define expenditures associated with a work order.
For example, you have a warehouse and employ workers to assemble widgets that you sell. You need to track costs associated with employee labor, warehouse machines, and overhead associated with each work order. Direct Cost
¥ Labor Setup - Cost of time for labor to set up a run

NetSuite inventory item records enable tracking of the quantity and value of inventory. The balance sheet will automatically reflect the value of the inventory on hand, and the income statement will automatically reflect the markup charged for these items.
To track inventory, first set up the inventory items. Fields that appear depend on the features that have been enabled. When buying and selling inventory, the COGS, income and asset accounts are updated. Item profits are reflected on the income statement |

If you stock, sell and fulfil items in more than one location, you can use the Multi-Location Inventory feature to manage the inventory for your distinct locations. The Multi-Location Inventory feature enables you to associate each item and transaction with a location. Then, you can track the purchase, sale, stock level and value of items in your locations, as well as transferring inventory between locations. |
